AI AGENTS
New ClickUp Task Roadmap Gatekeeper
When a new ClickUp task is created, an agent checks it against the Notion roadmap, auto-links and tags genuine roadmap work.
How it runs
The automated pipeline, trigger to output.
- TriggerNew ClickUp task created (webhook)ClickUp
- ActionRead new task title and descriptionClickUp
- ActionLoad roadmap and initiatives from NotionNotion
- ActionDecide roadmap match and confidence with LLMOpenAI
- LogicBranch: confident match vs off-roadmap
- ActionLink and tag matched tasks in ClickUpClickUp
- OutputFlag off-roadmap tasks in SlackSlack
What it does
Gates the backlog at the moment of intake. Every newly created ClickUp task is checked against the current Notion roadmap. Clear roadmap work gets linked to its initiative and tagged automatically; anything that looks like scope creep or an unmapped request is flagged in Slack with the agent's reasoning so a lead can accept or reject it before it buries the queue.
When to use it
Use it when random tasks keep appearing and the backlog grows faster than the roadmap can absorb. Catching misalignment at creation is far cheaper than grooming it out months later.
How it works
- 1A ClickUp webhook fires when a task is created.
- 2The agent reads the new task's title and description.
- 3It loads the current roadmap and initiatives from Notion.
- 4An LLM decides whether the task maps to a roadmap initiative and how confidently.
- 5A branch splits confident matches from off-roadmap or low-confidence items.
- 6Matched tasks are linked and tagged in ClickUp.
- 7Off-roadmap tasks are flagged in Slack with the rationale for a lead to triage.
Set it up
What you configure once, before turning it on.
- 1Connect ClickUpDocs + tasks + chats in one workspace.
- 2Connect NotionPages, databases, comments.
- 3Connect OpenAIModels, embeddings, files.
- 4Connect SlackChannels, DMs, threads, mentions.
- 5Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 6Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 7Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
