AI AGENTS
Closed ClickUp Task to Notion Roadmap Sync
When a ClickUp task is marked done, an agent checks whether it maps to a roadmap initiative in Notion and updates that initiative's progress and status.
How it runs
The automated pipeline, trigger to output.
- TriggerClickUp task marked done (webhook)ClickUp
- ActionRead closed task and roadmap referenceClickUp
- ActionLook up matching initiative in NotionNotion
- LogicBranch: linked vs unlinked task
- OutputUpdate initiative progress and status in NotionNotion
What it does
Keeps your Notion roadmap in lockstep with delivery. The moment a ClickUp task closes, the agent figures out which roadmap initiative it belonged to, recalculates that initiative's completion, and advances its status when all linked work is done — so the roadmap reflects reality instead of stale optimism.
When to use it
Use it when leadership reads the roadmap in Notion but the actual work lives in ClickUp, and the two drift apart by the time anyone checks. Good for teams that want roadmap status to update itself as tasks finish.
How it works
- 1A ClickUp webhook fires when a task moves to a done status.
- 2The agent reads the task and its tags or roadmap reference.
- 3It looks up the matching initiative in the Notion roadmap.
- 4A branch handles tasks with no roadmap link by flagging them for triage.
- 5For linked tasks the agent recomputes the initiative's progress.
- 6It updates the initiative's progress field and, if fully delivered, its status in Notion.
Set it up
What you configure once, before turning it on.
- 1Connect ClickUpDocs + tasks + chats in one workspace.
- 2Connect NotionPages, databases, comments.
- 3Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
