RFQ Outreach Agent: Email Shortlisted Vendors and Track Responses
Takes an approved RFQ plus a vendor shortlist and sends each vendor a personalized quote request by email, then logs send status and a response deadline in Coda.
How it runs
The automated pipeline, trigger to output.
- TriggerRFQ set to 'ready to send' in CodaCoda
- LogicLoad shortlist, skip already-contacted vendors
- ActionAgent drafts personalized RFQ emails
- ActionSend outreach via GmailGmail
- ActionLog send status and deadline in CodaCoda
- OutputPost outreach roll-up to SlackSlack
What it does
Once an RFQ is approved and vendors are selected, this agent generates a personalized outreach email per vendor, sends it from your procurement Gmail account, and records each send in Coda with a calculated response-by date. It avoids re-sending to vendors already contacted.
When to use it
Use it when you're ready to actually solicit quotes and want consistent, personalized outreach to a batch of vendors without writing each email by hand. Pairs naturally after the vendor discovery and RFQ-drafting agents.
How it works
- 1An RFQ row flips to status 'ready to send' in Coda (trigger).
- 2A logic step pulls the linked vendor shortlist and skips any already marked contacted.
- 3The agent drafts a tailored RFQ email for each remaining vendor referencing their offering.
- 4Gmail sends each message with the RFQ reference in the subject.
- 5The agent updates each vendor's row in Coda with send timestamp and response deadline.
- 6A roll-up of who was contacted is posted to Slack.
Set it up
What you configure once, before turning it on.
