AI AGENTS
Auto-send and track the vendor security questionnaire
When a vendor reaches the questionnaire stage, emails them the standard security questionnaire, logs the send, and chases non-responders on a schedule until the form comes back.
How it runs
The automated pipeline, trigger to output.
- TriggerIntake record enters Questionnaire stageNotion
- ActionAgent drafts personalized questionnaire email
- ActionSend questionnaire and log send dateGmail
- LogicIf past SLA and still open, send reminder
- OutputNotify channel when questionnaire receivedSlack
What it does
Drives the back-and-forth of getting a security questionnaire completed. It emails the vendor contact the right questionnaire link, records the send date on the intake record, and follows up automatically if no response arrives within the SLA window.
When to use it
When questionnaires get sent once and then forgotten, leaving reviews stuck waiting on vendors. Use it to make follow-up reliable without a person babysitting a spreadsheet of who has and hasn't replied.
How it works
- 1An intake record moving to the Questionnaire stage triggers the run.
- 2An agent drafts a personalized email referencing the vendor and requested tool, including the questionnaire link.
- 3The email is sent to the vendor contact via Gmail and the send timestamp is logged on the Notion record.
- 4A branch checks elapsed time: if the questionnaire status is still open past the SLA, a reminder email goes out and the chase count increments.
- 5Once marked received, the procurement channel is notified the vendor is unblocked for review.
