SUMMARIZATION
Zoom Recording to Action Items in Asana
When a Zoom cloud recording finishes, transcribes and summarizes the meeting, then creates an Asana task for every action item with an owner and due hint.
How it runs
The automated pipeline, trigger to output.
- TriggerZoom recording completedZoom
- ActionFetch meeting transcriptZoom
- ActionSummarize and extract action itemsOpenAI
- LogicSkip if no action items
- ActionCreate one task per action itemAsana
- OutputSend recap with task linksZoom
What it does
Turns finished Zoom meetings into tracked work. As soon as a cloud recording is ready, it grabs the transcript, summarizes the discussion, and isolates concrete action items. Each action item becomes its own Asana task with the assignee parsed from the conversation, so commitments made out loud actually land in the team's tracker.
When to use it
Use it for recurring meetings where decisions and follow-ups get made verbally and then forgotten. Ideal for standups, client calls, and planning sessions that already record to Zoom cloud.
How it works
- 1A Zoom recording-completed event triggers the flow.
- 2Retrieve the meeting transcript from Zoom.
- 3Summarize the call with OpenAI and extract a structured list of action items, each with a probable owner.
- 4Branch: if no action items were found, stop; otherwise continue.
- 5Create one Asana task per action item, assigning it to the matched owner.
- 6Post a short recap with task links back to the meeting host.
Set it up
What you configure once, before turning it on.
- 1Connect ZoomMeetings, recordings, transcripts.
- 2Connect OpenAIModels, embeddings, files.
- 3Connect AsanaTasks, projects, milestones — everywhere.
- 4Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 5Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 6Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
