Scanned application intake agent to Notion case file
An agent reads each scanned application from Dropbox, extracts and reasons over the fields, decides if the application is complete.
How it runs
The automated pipeline, trigger to output.

What it does
This agent-driven workflow turns a scanned application form into a complete Notion case file. It extracts the fields, judges whether the application has everything required, and writes a structured page that is tagged either ready-for-review or incomplete with a note on what is missing.
When to use it
Use it when intake is more than data entry — when someone has to read an application, decide whether it is complete, and set up a case record. The agent handles that judgment so staff start from an organized page instead of a raw scan.
How it works
- 1A new scanned application in Dropbox triggers the run.
- 2The agent downloads the file from Dropbox.
- 3It extracts the application fields using a Hugging Face document model.
- 4The agent reasons over the extracted fields to determine completeness and flag any missing or contradictory entries.
- 5It creates a structured Notion case page with the fields, the completeness verdict, and a missing-items note.
- 6The page is tagged ready-for-review or incomplete so the queue reflects what actually needs follow-up.
Set it up
What you configure once, before turning it on.
- 1Connect DropboxFiles and folders.
- 2Connect Hugging FaceModels, datasets, spaces — the open-source hub.
- 3Connect NotionPages, databases, comments.
- 4Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 5Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 6Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
