PROJECT MANAGEMENT
Post-Kickoff Commitment Confirmation Email to Attendees
After a Zoom kickoff, drafts a per-attendee summary of the commitments they personally made and emails it via Outlook for sign-off before anything lands on the board.
How it runs
The automated pipeline, trigger to output.
- TriggerZoom recording completedZoom
- ActionExtract commitments by ownerOpenAI
- LogicGroup commitments per attendee
- ActionCompose personalized confirmationOpenAI
- OutputEmail each attendee via OutlookOutlook
What it does
This workflow turns a finished Zoom call into a confirmation loop. It extracts each person's spoken commitments, groups them by owner, and sends every attendee a tailored Outlook email listing only the deliverables and dates they agreed to, asking them to reply if anything is wrong. Accountability starts with everyone seeing their own list.
When to use it
Use it when verbal agreements routinely get disputed later ("I never said Friday"). Great for client-facing kickoffs and cross-team planning calls where you want explicit owner buy-in before tracking work formally.
How it works
- 1A Zoom recording-completed event triggers the run.
- 2OpenAI parses the transcript into commitments tagged with owner, task, and due date.
- 3A logic step groups the commitments by owner so each person gets only their items.
- 4For owners with at least one commitment, the workflow composes a personalized confirmation message.
- 5Outlook sends each attendee their own email requesting a reply if a task or date is inaccurate, creating a written paper trail.
Set it up
What you configure once, before turning it on.
- 1Connect ZoomMeetings, recordings, transcripts.
- 2Connect OpenAIModels, embeddings, files.
- 3Connect OutlookMail, calendar, contacts.
- 4Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 5Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 6Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
