INVOICE PROCESSING
Dollar-Threshold Match Variance Escalation Chain
Routes three-way match variances up an approval ladder by dollar size — small ones to the line manager, large ones to the controller.
How it runs
The automated pipeline, trigger to output.
- TriggerUnmatched invoice row insertedPostgres
- ActionFetch PO + receipt, compute net variancePostgres
- LogicPlace variance in dollar approval band
- ActionSend to approver tier with actionsMicrosoft Teams
- LogicBranch on approve vs reject
- OutputUpdate invoice and log to audit tablePostgres
What it does
Not every match exception deserves the same scrutiny. This workflow sizes the variance and sends it to the right tier of authority: minor overages clear with a manager, mid-size variances need a director, and anything past the controller threshold escalates to finance leadership. The approval decision flows back to update the invoice.
When to use it
Use it when your approval policy is dollar-banded and you want match exceptions enforced against that policy automatically instead of relying on people to know their own limits.
How it works
- 1A new unmatched invoice row triggers the workflow.
- 2The PO and receiving record are fetched and the net variance is calculated in Postgres.
- 3Logic places the variance into a dollar band against the approval matrix.
- 4A router sends the request to the matching approver tier via Microsoft Teams with approve/reject actions.
- 5On approval the invoice is released for payment and marked in Postgres; on rejection it is flagged disputed.
- 6The outcome is logged to an audit table for SOX traceability.
Set it up
What you configure once, before turning it on.
- 1Connect PostgresAny Postgres URL — query, write, migrate.
- 2Connect Microsoft TeamsChannels, chats, files.
- 3Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
