AI AGENTS
Vendor Usage Right-Sizing Report
On a monthly schedule, an agent reconciles each vendor's committed tier against actual Stripe usage and Notion contract terms.
How it runs
The automated pipeline, trigger to output.
- TriggerMonthly schedule
- ActionList active contracts from NotionNotion
- ActionPull per-vendor usage from StripeStripe
- LogicScore utilization and overspend
- ActionAgent compiles right-sizing report
- OutputPublish report to NotionNotion
What it does
This workflow finds money you're leaving on the table across your entire vendor stack. Every month the agent walks each active contract, pulls real consumption from Stripe, compares it against the committed seats or usage tier in Notion, and writes a right-sizing report ranking vendors by overspend with a specific recommended ask for the next renewal.
When to use it
Run it when you carry many usage-based or seat-based contracts and suspect you're over-committed but lack a single view of where. Finance and ops teams use it to walk into every renewal already knowing the exact downgrade to demand.
How it works
- 1A monthly schedule kicks off the reconciliation run.
- 2The agent lists all active vendor contracts from the Notion contracts database.
- 3For each, it pulls trailing usage and billed amounts from Stripe.
- 4A logic step scores each vendor: utilization rate, dollars wasted, and renewal proximity.
- 5The agent compiles a ranked right-sizing report with per-vendor downgrade recommendations.
- 6The report is written back as a Notion page for the finance team.
Set it up
What you configure once, before turning it on.
- 1Connect NotionPages, databases, comments.
- 2Connect StripeCustomers, subscriptions, payments.
- 3Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
