SUMMARIZATION
Zoom Brief Archived to Google Drive with Outlook Link
After a Zoom recording completes, generate a meeting brief, save it as a dated document in a Google Drive folder.
How it runs
The automated pipeline, trigger to output.
- TriggerZoom recording.completed webhook firesZoom
- ActionSummarize transcript into structured briefOpenAI
- ActionCreate dated document in team Drive folderGoogle Drive
- ActionWrite brief content into the documentGoogle Drive
- OutputEmail Drive link to host via OutlookOutlook
What it does
Creates a permanent, searchable archive of every meeting. The recording is summarized into a structured brief, written to a dated Google Drive document in a per-team folder, and the host gets an Outlook email that links straight to it — so the full record lives in Drive while the inbox stays a lightweight notification.
When to use it
Use it when meetings need a durable home — board syncs, project reviews, vendor calls — and the team already searches Google Drive for institutional memory. Better than an email-only flow when briefs must be findable months later.
How it works
- 1A Zoom `recording.completed` webhook delivers the recording metadata and transcript.
- 2OpenAI produces a structured brief: summary, decisions, action items, and follow-ups.
- 3A new Google Drive document is created in the team folder, titled with the meeting name and date.
- 4The brief content is written into that document.
- 5Outlook emails the host a short notification containing the Drive link, not the full text.
Set it up
What you configure once, before turning it on.
- 1Connect ZoomMeetings, recordings, transcripts.
- 2Connect OpenAIModels, embeddings, files.
- 3Connect Google DriveDocs, sheets, slides, files.
- 4Connect OutlookMail, calendar, contacts.
- 5Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 6Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 7Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
