  • ActionDownload PDF text and extract terms with OpenAIOpenAI

  • OutputCreate renewal reminder 60 days out in Google CalendarGoogle CalendarGoogle Calendar

What it does

It turns a freshly signed contract PDF into a calendar reminder you will actually see in time. When a new file lands in your Dropbox contracts folder, this workflow reads the document, extracts the counterparty, effective date, term length, renewal date, and auto-renew clause, then creates a Google Calendar event 60 days ahead of the renewal so nobody misses a notice window.

When to use it

Use it when contracts get countersigned and dumped into shared cloud storage and then forgotten until they auto-renew. It is built for small ops, legal, and finance teams that close deals faster than they track them.

How it works

  1. 1A new file appears in the watched Dropbox folder and triggers the run.
  2. 2The PDF text is downloaded and passed to OpenAI, which returns structured fields: parties, effective date, renewal date, and whether auto-renew applies.
  3. 3A logic step skips files that are not contracts or have no detectable renewal date.
  4. 4For qualifying contracts, a Google Calendar event is created 60 days before the renewal date, titled with the counterparty and including the extracted terms in the notes.
