Weekly Dormant Contact Sweep with Warm Re-Intro Drafts
Every week, finds HubSpot contacts with no activity in 90+ days, pulls their last email thread for context.
How it runs
The automated pipeline, trigger to output.
- TriggerWeekly schedule fires
- ActionQuery HubSpot for contacts with no activity in 90+ daysHubSpot
- ActionFetch each contact's most recent Gmail threadGmail
- ActionDraft a warm re-intro from the prior thread contextOpenAI
- OutputCreate the re-intro as a Gmail draft for reviewGmail
What it does
This workflow runs a standing sweep of your HubSpot CRM to catch relationships that have gone quiet. It identifies contacts with no logged activity in the last 90 days, reads the most recent email thread you exchanged with each one, and writes a short, warm re-introduction that references what you last talked about. Each draft lands in your Gmail drafts folder so you only have to review and hit send.
When to use it
Use it if you have a pipeline that leaks warm relationships simply because nobody circles back. Account executives, founders, and partnership leads who manage hundreds of contacts benefit most: it turns the vague intention to "follow up sometime" into a concrete, ready-to-send queue every Monday.
How it works
- 1A weekly schedule fires the run.
- 2HubSpot returns contacts whose last activity date is older than 90 days.
- 3For each contact, Gmail fetches the latest thread to recover the prior context.
- 4OpenAI drafts a 4-to-6 sentence warm re-intro that references the past conversation, not a generic blast.
- 5The draft is created in Gmail under the contact's thread, ready for human review and send.
