How it runs

The automated pipeline, trigger to output.

  • TriggerNew contract PDF in Dropbox /ContractsDropboxDropbox
  • ActionExtract counterparty and key datesOpenAI
  • LogicDerive notice-by date and check for existing recordAirtableAirtable
  • OutputCreate or update Airtable renewal recordAirtableAirtable

What it does

Processes contract PDFs as they land in a Dropbox folder, extracts the counterparty name, effective date, term length, and renewal or expiry date, and creates a record in an Airtable renewal tracker linking back to the file. It computes a notice-by date so the team acts before auto-renewal windows close.

When to use it

Use it when signed contracts pile up in Dropbox but nobody tracks when they renew or expire, and missed renewal windows have cost you. Best for ops or legal teams that live in Airtable.

How it works

  1. 1A new file in `/Contracts` triggers the run.
  2. 2The flow extracts counterparty, effective date, term, and renewal/expiry date via OpenAI.
  3. 3A logic step derives the notice-by date by subtracting the notice period from the renewal date.
  4. 4It checks Airtable for an existing record for the same counterparty and term to avoid duplicates.
  5. 5A new Airtable record is created (or the existing one updated) with all dates and the Dropbox link.
