What it does

Filing documents into folders solves storage but not findability. This workflow builds a searchable Airtable register of everything that comes through the scanner: each split document becomes a row capturing its detected type, the sender or counterparty name pulled from the text, page count, received date, and a direct link to the filed Dropbox copy.

When to use it

Use it when the team needs to answer "do we have the signed lease from March?" without digging through folders, or when an auditor wants a manifest of every document received. Pairs naturally with a split-and-file workflow already running.

How it works

  1. 1A new multi-page PDF in the Dropbox watch folder starts the run.
  2. 2The file is downloaded and read page by page.
  3. 3An LLM splits it into logical documents and extracts type, sender, and date for each.
  4. 4Each split document is saved back to Dropbox and a shareable link is captured.
  5. 5One Airtable row per document is created with type, sender, page count, date, and the Dropbox link.
