How it runs

The automated pipeline, trigger to output.

  • TriggerInvoice flagged Exception in AirtableAirtableAirtable
  • ActionCompute per-line variance vs PO and receipt
  • LogicRoute to approver by vendor or amount
  • ActionPost interactive approval request in SlackSlack
  • OutputRecord decision and approver in AirtableAirtableAirtable

What it does

Monitors invoices that failed three-way match and routes each one to a human approver with the exact discrepancy spelled out: what was ordered, what was received, and what was billed. Approvers act directly from a Slack message, and the decision flows back to Airtable so the audit trail stays complete.

When to use it

Use this once you already match invoices automatically and need a fast, accountable way to clear the exceptions. It replaces chasing approvers over email and keeps every approval decision logged against the invoice.

How it works

  1. 1An Airtable record entering the Exception status triggers the flow.
  2. 2The flow reads the invoice, PO, and goods-receipt values and computes the variance for each failing line.
  3. 3A routing step picks the approver based on vendor or invoice amount thresholds.
  4. 4A formatted Slack message goes to that approver showing the variance and Approve / Reject buttons.
  5. 5The approver's response is captured, and the Airtable record is updated to Approved or Rejected with the approver name and timestamp.
  6. 6Rejected invoices trigger a follow-up note back to the requesting buyer.
