IT OPS
Scheduled Pre-Start Access Prep Sweep
Each morning, scans for hires starting in three days and pre-stages their accounts and welcome materials so everything is ready before day one.
How it runs
The automated pipeline, trigger to output.
- TriggerDaily weekday morning schedule
- ActionQuery hires starting in 3 daysAirtable
- LogicSkip already-provisioned hires
- ActionStage folder + welcome packetGoogle Drive
- ActionPre-add to org and assign licenseMicrosoft Teams
- OutputPost prep digest to SlackSlack
What it does
Runs a daily sweep that looks ahead for upcoming start dates and prepares access in advance instead of scrambling on the first morning. It pre-creates accounts, drops a welcome packet, and notifies IT of anything that needs a human.
When to use it
Use this when same-day provisioning leaves new hires waiting on accounts. Staging three days out gives IT a buffer to resolve license shortages or naming conflicts before the employee logs in.
How it works
- 1A scheduled trigger runs every weekday morning.
- 2An Airtable action queries the onboarding tracker for hires whose start date is exactly three business days away.
- 3A logic step filters out anyone already provisioned to avoid duplicates.
- 4A Google Drive action creates each hire's folder and copies the standard welcome packet into it.
- 5A Microsoft Teams action pre-adds them to the org and assigns a license.
- 6A final Slack digest summarizes who was prepped and flags any failures to #it-onboarding.
