Triage inbound RFP emails and auto-draft cited answers for known items
Monitors a shared RFP inbox, classifies whether an email contains answerable security questions, drafts cited answers for matched items.
How it runs
The automated pipeline, trigger to output.
- TriggerNew email in shared RFP inboxGmail
- LogicClassify: contains answerable questions?
- ActionRetrieve matches from Notion policy KBNotion
- ActionDraft cited answers for covered itemsOpenAI
- OutputReply with drafts + escalate uncovered itemsGmail
What it does
This workflow watches your RFP intake mailbox. When a security questionnaire or question arrives by email, it determines which items map to existing policy coverage, drafts grounded cited answers for those, and forwards items with no coverage to the security team with context. Non-RFP mail is ignored.
When to use it
Use it when questionnaires arrive ad hoc over email rather than through a portal, and you want triage and first-pass drafting to happen automatically before a person opens the thread.
How it works
- 1A new email in the shared RFP inbox triggers the run.
- 2A logic step classifies whether the message contains answerable security questions.
- 3Matching questions are retrieved against the versioned Notion policy KB.
- 4OpenAI drafts cited answers for items with sufficient source coverage.
- 5Items lacking coverage are bundled with context.
- 6The drafted answers go back as a reply; uncovered items are posted to the security Slack channel.
Set it up
What you configure once, before turning it on.
- 1Connect GmailRead, draft, send, label.
- 2Connect NotionPages, databases, comments.
- 3Connect OpenAIModels, embeddings, files.
- 4Connect SlackChannels, DMs, threads, mentions.
- 5Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 6Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 7Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
