Escalate chronically overdue receipts to managers in Slack
Finds card charges that have stayed undocumented past a threshold despite reminders.
How it runs
The automated pipeline, trigger to output.
- TriggerDaily schedule
- ActionPull charges past overdue + chase-count thresholds from AirtableAirtable
- LogicGroup by manager, compute exposure, apply cooldown
- ActionPost escalation to manager in SlackSlack
- OutputLog escalation timestamp in AirtableAirtable
What it does
When a cardholder ignores repeated receipt reminders, this workflow escalates. It identifies charges that are both past the overdue threshold and already chased multiple times, looks up the cardholder's manager, and posts a Slack message summarizing the open items and total undocumented spend.
When to use it
Use it as the second line after self-service reminders fail. It gives managers the visibility to push their reports without finance playing bad cop, and it caps how long undocumented spend can linger.
How it works
- 1A daily schedule starts the run.
- 2The workflow pulls Airtable charges where overdue days and prior chase count both exceed configured thresholds.
- 3It groups the offenders by manager and computes each cardholder's total undocumented dollar exposure.
- 4A filter suppresses anyone already escalated within the cooldown window.
- 5A formatted escalation is posted to the manager via Slack, tagging the cardholder.
- 6Airtable records the escalation timestamp so the same charge is not re-escalated daily.
Set it up
What you configure once, before turning it on.
- 1Connect AirtableBases, tables, views, automations.
- 2Connect SlackChannels, DMs, threads, mentions.
- 3Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
