Log Slack maintenance reports to an Airtable facilities tracker
Captures maintenance issues posted in a Slack channel via a shortcut, structures them with AI, and writes a complete record to an Airtable facilities log with status, location…
How it runs
The automated pipeline, trigger to output.
- TriggerMaintenance report posted in SlackSlack
- ActionExtract location + issue fields with AIOpenAI
- LogicMap issue type to responsible trade
- ActionCreate Open record in Airtable logAirtable
- OutputConfirm in Slack thread with record linkSlack
What it does
Lets staff report a broken thing from Slack and have it become a clean Airtable row. The workflow parses the message into structured fields (location, asset, issue type, severity), assigns the responsible trade, and logs it as Open in the facilities tracker so nothing lives only in a chat thread.
When to use it
Ideal for offices and sites where employees report problems in Slack but facilities runs its system of record in Airtable. Use it to stop losing issues in scrollback and to keep a queryable maintenance history per location.
How it works
- 1A staffer triggers the workflow from a Slack message (shortcut or channel post in #facilities).
- 2An AI step extracts location, affected asset, issue description, and a severity guess from the message text.
- 3A logic step maps the issue type to the correct trade (plumbing, electrical, HVAC, carpentry).
- 4A new row is created in the Airtable facilities log with status Open and the assigned trade.
- 5A confirmation is posted back in the Slack thread with the Airtable record link.
