Daily Outlook Room Conflict Sweep and Facilities Report
Each morning scans every managed Outlook room for the day's overlapping bookings, ranks the worst conflicts.
How it runs
The automated pipeline, trigger to output.
- TriggerMorning schedule before business hours
- ActionPull today's events for all managed roomsOutlook
- LogicCompute overlaps and rank by impact
- ActionLook up suggested free room per conflictOutlook
- OutputPost triage report to facilities Slack channelSlack
What it does
On a schedule, it reads the full day's bookings across all your Outlook room resources, finds every overlap, and builds a prioritized list of conflicts. Instead of auto-moving anything, it hands facilities a ready-to-act report: which rooms clash, when, who's involved, and a recommended free room for each fix.
When to use it
Use this when your team prefers a human in the loop over silent auto-rebooking, but still wants conflicts surfaced before the workday starts rather than discovered when two teams show up to the same room.
How it works
- 1A morning schedule kicks off the sweep before business hours.
- 2The flow enumerates all managed room resources and pulls today's events for each.
- 3A logic step computes pairwise overlaps and ranks them by attendee impact and start time.
- 4For each conflict it looks up an open room of matching size as a suggested fix.
- 5It posts a formatted triage report to the facilities Slack channel with one line per conflict and the recommended room.
Set it up
What you configure once, before turning it on.
- 1Connect OutlookMail, calendar, contacts.
- 2Connect SlackChannels, DMs, threads, mentions.

- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
