How it runs

The automated pipeline, trigger to output.

  • TriggerWeekly schedule fires the sweep
  • ActionPull roster + per-app usage rowsAirtableAirtable
  • LogicFlag seats idle past threshold, drop exclusions
  • LogicEstimate savings and rank candidates
  • OutputPost reclaim approval list to SlackSlack

What it does

Runs a scheduled sweep that joins your identity roster with each SaaS app's last-activity timestamp, then surfaces seats that have sat idle longer than your policy window (for example 45 days). It writes a ranked reclaim candidate list and asks IT to approve removals in Slack before anything is touched.

When to use it

When license spend creeps up and nobody is sure which seats are actually being used. Ideal for IT-ops teams running a recurring true-up against vendors that bill per active seat.

How it works

  1. 1A weekly schedule fires the sweep.
  2. 2The flow pulls the current employee roster and per-app usage rows from your Airtable license tracker.
  3. 3A logic step computes days-since-last-login per seat and keeps only those past the idle threshold, skipping anyone on a do-not-reclaim list.
  4. 4It estimates monthly savings per candidate and sorts highest-cost first.
  5. 5The ranked list posts to a Slack channel with approve/skip context for IT to action.
