What it does

When someone leaves, this workflow catches the seats that did not get cleaned up. It cross-references the departed employee against live tool-assignment data and surfaces every orphaned license still costing money after their last day.

When to use it

Run this as a safety net on top of your HR offboarding process. Manual deprovisioning misses tools that are not wired into SSO, and those orphaned seats are the most common source of license leakage.

How it works

  1. 1A new offboarding row created in Airtable triggers the run.
  2. 2The flow queries Snowflake for any active seat still mapped to that employee's email or user ID.
  3. 3A logic step branches: if zero orphaned seats, it closes the record silently.
  4. 4If seats remain, it builds a per-tool reclamation checklist.
