Agent-Driven Seat Reclaim Triage with Usage Context
An agent reviews idle-seat candidates, gathers usage and role context, drafts a tailored reclaim recommendation per user, and asks the manager to confirm before any revoke.
How it runs
The automated pipeline, trigger to output.
- TriggerSchedule starts triage run
- ActionPull idle candidates + usage historyAirtable
- LogicAgent weighs trend, role, seasonalityOpenAI
- ActionPost recommendation to manager in SlackSlack
- OutputWrite confirmed decisions + rationale to AirtableAirtable
What it does
Instead of a flat idle-days filter, an agent examines each flagged seat with context: recent activity trend, the user's role, and whether the tool is seasonal. It drafts a reasoned keep-or-reclaim recommendation per user and presents it to the manager for the final call.
When to use it
Use it where a blunt threshold causes friction, such as tools used heavily only at quarter-end or seats held by execs who log in rarely but must keep access. The agent adds judgment so managers get a recommendation, not just a raw list.
How it works
- 1A schedule starts the triage run.
- 2The agent pulls idle-seat candidates and their usage history from Airtable.
- 3For each candidate, it weighs activity trend, role, and tool seasonality to form a recommendation.
- 4It drafts a per-user keep-or-reclaim rationale.
- 5The agent posts each recommendation to the manager in Slack and requests confirmation.
- 6Confirmed reclaims and overrides are written back to Airtable with the agent's reasoning attached.
Set it up
What you configure once, before turning it on.
- 1Connect AirtableBases, tables, views, automations.
- 2Connect SlackChannels, DMs, threads, mentions.
- 3Connect OpenAIModels, embeddings, files.
- 4Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 5Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 6Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
