Route Shadow-IT App Approvals Through Slack to a Monday Board
When an employee requests sanctioning of an unapproved SaaS app via a Slack form, this workflow opens a tracked review item on a Monday board and pings the security reviewer…
How it runs
The automated pipeline, trigger to output.
- TriggerSlack approval form submittedSlack
- LogicValidate fields and dedupe against existing decisions
- ActionCreate Pending Review item on Monday boardmonday.com
- ActionNotify assigned security reviewerSlack
- OutputConfirm tracking link to requesterSlack
What it does
This turns a discovered shadow-IT app into a governed approval request. An employee (or IT) submits the app name and business justification through a Slack workflow form; the request lands as a structured item on the IT governance board in Monday, and the assigned security reviewer is notified to approve or reject it. The review record persists for audit.
When to use it
Use it once you've discovered shadow IT and need a repeatable, auditable path to either bless or block each app. It replaces ad-hoc DMs and email threads with a single tracked queue that auditors and managers can see.
How it works
- 1A Slack form submission triggers the workflow with app name, requester, and justification.
- 2Validate that required fields are present and the app isn't already approved or denied.
- 3Create a new item on the Monday governance board with status "Pending Review" and the captured details.
- 4Notify the assigned security reviewer in Slack with a link to the Monday item.
- 5Confirm receipt back to the requester in a Slack thread with the tracking link.
Set it up
What you configure once, before turning it on.
- 1Connect SlackChannels, DMs, threads, mentions.
- 2Connect monday.comVisual work management for teams.
- 3Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
