PERSONAL PRODUCTIVITY
Salary-Weighted Recurring Meeting Cost Ledger
Monthly, totals the real dollar cost of every standing meeting by multiplying attendee time against role-based hourly rates.
How it runs
The automated pipeline, trigger to output.
- TriggerMonthly schedule (1st)
- ActionRead recurring meetings + attendeesOutlook
- ActionPull role hourly rates from Coda tableCoda
- LogicCompute per-meeting monthly cost + flag tiers
- OutputWrite sorted cost ledger to CodaCoda
What it does
It converts recurring meetings from a vague time cost into a hard number leadership can argue with. Each month it computes the loaded labor cost of every standing meeting on the calendar and lands it in a Coda table you can sort by spend.
When to use it
Use it when you need a defensible cost case for cutting meetings — board prep, headcount reviews, or efficiency drives where "this sync costs $94k a year" lands harder than "it feels long."
How it works
- 1A monthly schedule triggers on the 1st.
- 2The flow reads all recurring meetings and their attendee lists from Outlook.
- 3It joins each attendee to an hourly rate from a role-rate table maintained in Coda.
- 4A compute step calculates per-meeting monthly cost: attendees times duration times rate times occurrences.
- 5Meetings are flagged amber over $5k/mo and red over $15k/mo.
- 6The full ledger, sorted high to low with flags, is written back to a Coda cost-audit table.
Set it up
What you configure once, before turning it on.
- 1Connect OutlookMail, calendar, contacts.
- 2Connect CodaDocs, packs, automations.
- 3Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
