Post an OOO approval handoff card to the backup in Teams
When an approval-tagged email arrives while you are out of office, this posts an actionable handoff card to your backup in Microsoft Teams with Approve and Reject options…
How it runs
The automated pipeline, trigger to output.
- TriggerNew approval-tagged email in OutlookOutlook
- LogicContinue only if OOO automatic replies are on
- ActionParse requester, subject, amount, and deadline
- ActionPost actionable handoff card to backup in TeamsMicrosoft Teams
- OutputEmail backup's decision to the original requesterOutlook
What it does
Turns each approval email that arrives during your out-of-office window into a Microsoft Teams card sent directly to your backup. The card carries the requester, amount or subject, and a deadline, with Approve and Reject buttons so the backup can decide in the chat. The decision is written back to the requester by email.
When to use it
Your backup lives in Teams, not your inbox. You want approvals to reach them where they already work, with one-tap actions instead of a forwarded email they might miss.
How it works
- 1Trigger: a new email arrives matching your approval rules.
- 2Logic: proceed only if Outlook automatic replies are currently on.
- 3Action: extract requester, subject, amount, and any due date from the message.
- 4Action: post an actionable handoff card to the backup in Teams.
- 5Output: relay the backup's Approve or Reject decision back to the requester by email.
Set it up
What you configure once, before turning it on.
- 1Connect OutlookMail, calendar, contacts.
- 2Connect Microsoft TeamsChannels, chats, files.
- 3Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
