Notify the host instantly when a visitor checks in at the lobby
Receives the lobby kiosk check-in webhook, matches the visitor to their scheduled meeting.

The automated pipeline, trigger to output.

- ActionLook up matching badge requestAirtable
- LogicBranch on match found
- ActionNotify host of arrivalMicrosoft Teams
- OutputStamp visitor as checked inAirtable
What it does
When a visitor taps in at the lobby kiosk, this workflow catches the check-in event, finds the matching pre-registered meeting, and immediately notifies the host that their guest has arrived. It closes the gap between a visitor signing in and the host actually knowing about it.
When to use it
Use this when you have a self-service lobby kiosk or tablet that can fire a webhook on check-in, and you want hosts notified in real time on Microsoft Teams rather than relying on a receptionist to phone or message manually.
How it works
- 1The lobby kiosk sends a check-in webhook with the visitor's name and the host they are here to see.
- 2The flow looks up the matching badge request to confirm the visit was pre-registered and pulls the meeting room.
- 3If a match is found, it sends the host a Teams message naming the guest and the lobby location.
- 4If no pre-registration exists, it routes a fallback alert to the reception channel to handle the unexpected walk-in.
- 5The visitor record is stamped as checked in.
