Re-engage Zoom webinar no-shows with a recording and reschedule email
Compares Zoom registrants against actual attendees, isolates the no-shows, and sends them an Outlook email with the recording link and a one-click reschedule offer.
How it runs
The automated pipeline, trigger to output.
- TriggerZoom webinar.ended event receivedZoom
- ActionFetch registrant list and attendance reportZoom
- LogicDiff registrants minus attendees to find no-shows
- ActionEmail recording + reschedule link to each no-showOutlook
- OutputAppend no-show recovery records to AirtableAirtable
What it does
Plenty of registrants never make it to the live session — and they are still warm leads. This workflow diffs the Zoom registration list against the attendance report, finds everyone who registered but did not join, and emails them the on-demand recording plus a calendar link to the next session through Outlook.
When to use it
Use it for any webinar with a meaningful no-show rate where the recording is your recovery asset. Ideal when you run a recurring series and want absentees funneled toward the next live date instead of going dark.
How it works
- 1Zoom `webinar.ended` event triggers the run.
- 2The flow pulls both the registrant list and the participant (attendance) report.
- 3A filter step subtracts attendees from registrants to produce the no-show list.
- 4For each no-show, an Outlook email is sent with the recording URL and the next-session reschedule link.
- 5No-show emails and send status are appended to an Airtable tracker for the recovery report.
Set it up
What you configure once, before turning it on.
- 1Connect ZoomMeetings, recordings, transcripts.
- 2Connect OutlookMail, calendar, contacts.
- 3Connect AirtableBases, tables, views, automations.
- 4Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 5Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 6Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
