Pre-meeting Zoom Room readiness sweep
Runs each morning, cross-references today's room-booked calendar events with live Zoom Room health.
How it runs
The automated pipeline, trigger to output.

What it does
Every morning this workflow looks ahead at the day's room reservations, checks the actual hardware state of each booked room, and proactively tells organizers when their room won't work — early enough to relocate or fix it.
When to use it
Use this when meeting disruptions cost real money or credibility and you want to shift from reactive firefighting to a clean morning all-clear (or a heads-up before anyone walks into a broken room).
How it works
- 1A schedule fires at 7:00am on weekdays.
- 2It reads today's Google Calendar events that have a Zoom Room resource booked.
- 3For each booked room it pulls current Zoom Rooms device health (camera, mic, display, controller).
- 4A filter keeps only bookings where the room is offline or any peripheral is degraded.
- 5For each match it DMs the meeting organizer on Slack with the room, meeting time, the specific failing component, and a suggestion to rebook.
- 6A summary of all at-risk rooms is posted to the facilities channel so a tech can triage before the day starts.
Set it up
What you configure once, before turning it on.
- 1Connect ZoomMeetings, recordings, transcripts.
- 2Connect Google CalendarEvents, attendees, availability.
- 3Connect SlackChannels, DMs, threads, mentions.
- 4Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 5Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 6Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
