Send Personalized Post-Show Recaps Mapped to Each Visitor's Interest
After the event closes, reads all logged booth scans, generates a personalized recap email per visitor tied to the product they showed interest in, sends it via Gmail.
How it runs
The automated pipeline, trigger to output.
- TriggerManual run after event closes
- ActionPull all booth scans from AirtableAirtable
- ActionGenerate personalized recap per visitorOpenAI
- ActionSend recap email via GmailGmail
- ActionTag contact with nurture track in HubSpotHubSpot
- OutputPost per-track send summary to SlackSlack
What it does
When the show ends, this workflow turns your full list of booth scans into individualized recap emails. For each visitor it drafts a recap that references the specific product or demo they were tagged with, attaches the relevant resource, sends it from your team inbox, and applies the matching nurture-track tag in HubSpot so downstream campaigns pick up the right thread.
When to use it
Run once, manually, the day after a conference when all scans are in and you want every visitor to receive a relevant follow-up rather than a generic thank-you. Works best when scans carry an interest or demo-station tag.
How it works
- 1You start the workflow manually after the event closes.
- 2All booth scans are pulled from the Airtable leads table.
- 3For each visitor, an LLM step writes a personalized recap email keyed to their interest tag.
- 4The recap is sent via Gmail with the matching resource link.
- 5The contact is tagged with the corresponding nurture track in HubSpot.
- 6A run summary with send counts per track is posted to Slack for marketing.
