What it does

Scans your employee certification register every morning and sends tiered renewal nudges at 90, 60, and 30 days before each credential lapses. Each employee gets exactly one email per milestone, and the register records when each reminder went out so nobody is pinged twice.

When to use it

Use this when your workforce holds renewable credentials (CPR, OSHA, forklift, security clearances, professional licenses) and you want gentle, escalating self-service reminders before HR has to chase anyone. Best when employees can renew on their own and just need a timely heads-up.

How it works

  1. 1A daily schedule fires the workflow each morning.
  2. 2The flow reads all active certification rows from Airtable, including expiry date and the last-reminder-sent field.
  3. 3A logic step computes days-to-expiry and selects rows crossing the 90, 60, or 30 day thresholds that have not already been reminded at that tier.
  4. 4For each matched row it sends the employee a milestone-specific email via Gmail with renewal instructions and the deadline.
  5. 5The matching Airtable row is updated with the reminder tier and timestamp so the same milestone never re-sends.
