What it does

Closing the front door of credential tracking: the instant a new license or certification is registered, this flow makes sure it's complete, archives the supporting document, and seeds the calendar with renewal holds. No credential ever silently misses its first reminder cycle.

When to use it

Use it during onboarding or whenever staff add credentials to your register, so the data-entry moment automatically wires up downstream reminders instead of relying on someone to remember to schedule them.

How it works

  1. 1A new or updated credential row in Airtable triggers the run.
  2. 2A logic step validates the record has a credential type, holder email, issue and expiry dates, and an attached document, flagging anything incomplete.
  3. 3The supporting certificate file is copied into a structured Google Drive folder for audit retention.
  4. 4Google Calendar reminder events are created at the configured lead times (e.g. 60 and 14 days out) on the HR compliance calendar.
  5. 5The Airtable row is marked enrolled with links to the stored file and the calendar holds.
