What it does

Turns a new hire's role into a concrete compliance onboarding plan. The moment someone is added to the HR system, this workflow determines which certifications their position mandates, seeds placeholder records in the register with deadline dates, and creates tracked tasks so the person and their manager know exactly what must be completed and by when.

When to use it

Use this to guarantee no new employee starts working without their required credentials queued up. It is especially valuable in regulated roles where day-one or 30-day certification requirements exist and a missed enrollment creates audit exposure.

How it works

  1. 1A new-hire record creation in the HR table triggers the workflow.
  2. 2A logic step maps the hire's role to the list of mandatory certifications and computes each onboarding deadline relative to start date.
  3. 3For each required credential it creates a pending row in the Airtable certification register marked not-yet-completed.
  4. 4It creates an enrollment task per credential in ClickUp assigned to the new hire with the deadline.
  5. 5A welcome email via Gmail summarizes every certification the hire must obtain and the corresponding deadlines.
