What it does

This workflow turns looming year-end PTO forfeiture into an actionable HR queue. It calculates how many days each employee would lose if their balance stays put through the cutoff, ranks the risk, and creates one tracked card per person on a Monday.com board so HR can drive each case to resolution.

When to use it

Run this in the final quarter before a use-it-or-lose-it deadline, when leadership wants accountability and a paper trail rather than a one-off Slack ping. The Monday board gives HR a working list with status, owner, and due dates.

How it works

  1. 1A schedule fires on a weekly cadence during the forfeiture window.
  2. 2BigQuery computes each employee's forfeitable days given the cutoff date and carryover cap.
  3. 3A logic step assigns a severity tier (low, medium, high) by number of days at risk and drops anyone with zero exposure.
  4. 4For each at-risk employee, the workflow creates or updates a Monday.com item with their name, days at risk, tier, and manager.
  5. 5The board column for status is set to Needs Action, producing a live HR worklist as the output.
