HR & RECRUITING
Year-End Leave Forfeiture Escalation to Monday Board
As the fiscal year-end approaches, identifies employees at risk of forfeiting unused PTO and creates tracked items on a Monday.com board for HR.
How it runs
The automated pipeline, trigger to output.
- TriggerWeekly schedule during forfeiture window
- ActionCompute forfeitable days per employee in BigQueryBigQuery
- LogicAssign severity tier and drop zero-exposure employees
- ActionCreate or update a Monday.com item per at-risk employeemonday.com
- OutputSet status to Needs Action to form HR worklistmonday.com
What it does
This workflow turns looming year-end PTO forfeiture into an actionable HR queue. It calculates how many days each employee would lose if their balance stays put through the cutoff, ranks the risk, and creates one tracked card per person on a Monday.com board so HR can drive each case to resolution.
When to use it
Run this in the final quarter before a use-it-or-lose-it deadline, when leadership wants accountability and a paper trail rather than a one-off Slack ping. The Monday board gives HR a working list with status, owner, and due dates.
How it works
- 1A schedule fires on a weekly cadence during the forfeiture window.
- 2BigQuery computes each employee's forfeitable days given the cutoff date and carryover cap.
- 3A logic step assigns a severity tier (low, medium, high) by number of days at risk and drops anyone with zero exposure.
- 4For each at-risk employee, the workflow creates or updates a Monday.com item with their name, days at risk, tier, and manager.
- 5The board column for status is set to Needs Action, producing a live HR worklist as the output.
