How it runs

The automated pipeline, trigger to output.

  • LogicBucket by 90/60/30/7-day window, skip already-sent
  • ActionEmail staged renewal reminder to employeeGmailGmail
  • OutputStamp reminder stage + timestamp back to AirtableAirtableAirtable

What it does

Reads your Airtable register of employee licenses and certifications, computes days-to-expiry for each active record, and sends the right reminder for the right window. Each employee receives one well-timed email per threshold instead of a daily barrage, and every send is stamped back to the record.

When to use it

Use this when you track professional credentials (nursing licenses, CDLs, CPA, OSHA cards) in Airtable and want renewals handled proactively without an HR coordinator manually combing the sheet every week.

How it works

  1. 1A daily schedule fires the run early in the morning.
  2. 2The flow pulls all active credential rows from Airtable.
  3. 3A logic step buckets each row by days-to-expiry into the 90 / 60 / 30 / 7 day windows and skips anything already reminded for that window.
  4. 4For each due credential, a personalized renewal email goes to the employee via Gmail with the credential name, expiry date, and renewal instructions.
  5. 5The matching Airtable record is updated with the reminder stage and timestamp so the next run won't repeat it.
