What it does
This workflow converts an upcoming expiry into protected time on the calendar. As each credential reaches 45 days before lapsing, it creates a calendar event for the renewal and notifies the holder, so the task lands on their schedule instead of an easily-ignored email.
When to use it
Reach for this when renewals require real effort — booking an exam, attending a class, gathering CE hours — and a one-line reminder isn't enough. Putting a dated block on the calendar dramatically raises the odds the renewal actually happens.
How it works
- 1A daily schedule scans for credentials hitting the 45-day-before-expiry mark.
- 2It reads matching rows from the Airtable certification register.
- 3A logic step skips anyone who already has a renewal event booked for this cycle.
- 4For each remaining holder it creates a Google Calendar event titled with the certificate and a target completion date a week before expiry.
- 5Gmail sends a confirmation noting the booked time and what's required.
- 6The Airtable row is updated to record that a calendar block was created.
