What it does

Handles the credentials that cannot be self-renewed online and require an in-person or instructor-led session. For each employee approaching expiry, an agent finds an open renewal class on the shared training calendar, reserves a seat, and sends the employee an invite with location, prerequisites, and what to bring.

When to use it

Use this for hands-on certifications like first aid, equipment operation, or safety drills where renewal means attending a scheduled class, not clicking a button. It removes the back-and-forth of coordinating who needs which class by when, and proactively fills available training sessions.

How it works

  1. 1A daily schedule starts the coordination run.
  2. 2The agent reads the certification register from Airtable for credentials needing instructor-led renewal within the booking window.
  3. 3It checks Google Calendar for upcoming renewal sessions of the matching course type and available capacity.
  4. 4Using judgment on timing and seat availability, the agent creates a calendar event reserving the employee's seat and invites them.
  5. 5It emails the employee via Gmail with session details and prep instructions, then writes the booked session date back to Airtable.
