Candidate self-booking against balanced panel availability
When a candidate is marked ready to schedule, this computes free slots across the least-loaded eligible panelists in Google Calendar and emails the candidate a short list…
How it runs
The automated pipeline, trigger to output.
- TriggerMonday item set to "Ready to Schedule"monday.com
- ActionRead eligible panel pool + weekly loadsmonday.com
- ActionQuery Google Calendar free/busy for under-cap panelistsGoogle Calendar
- LogicIntersect into balanced candidate slot options
- OutputEmail candidate booking optionsGmail
- ActionBook selected slot + update Monday itemGoogle Calendar
What it does
Lets candidates pick their own interview time from options that are already balanced across the panel. Instead of offering every open slot, it only surfaces times where the available interviewers are below their weekly load cap, so self-booking never piles work on one person.
When to use it
When you want a candidate-friendly self-scheduling experience but still need to protect interviewers from uneven distribution. Good for high-volume top-of-funnel screens.
How it works
- 1A Monday item moves to "Ready to Schedule", firing the trigger.
- 2The flow reads the eligible interviewer pool and their current week loads.
- 3It queries Google Calendar free/busy for the under-cap interviewers only.
- 4A logic step intersects availability into a handful of balanced candidate-facing slots.
- 5It emails the candidate the slot options with a booking link.
- 6On selection it books the calendar event and updates the Monday item to scheduled.
Set it up
What you configure once, before turning it on.
