HR & RECRUITING
Detect and swap out overloaded interviewers automatically
On any new panel assignment it checks whether an interviewer just crossed their fatigue cap, and if so it proposes a swap to an equally-qualified lighter-loaded peer.
How it runs
The automated pipeline, trigger to output.
- TriggerMonday panel column updatedmonday.com
- ActionRecompute interviewer's weekly loadOutlook
- LogicOver fatigue cap? If not, exit
- ActionFind lightest-loaded qualified replacementmonday.com
- ActionMove calendar invite to replacementOutlook
- OutputUpdate panel + notify coordinators in TeamsMicrosoft Teams
What it does
Acts as a guardrail after panels are built. The moment an assignment pushes someone over their weekly cap, it finds a qualified replacement with spare capacity, swaps them in, and keeps the calendar and board in sync so nobody ends up double-loaded.
When to use it
When panels are assigned by multiple coordinators or other automations and overloading slips through. This catches the overflow and self-corrects without a human chasing it.
How it works
- 1A Monday column change adds an interviewer to a panel, firing the trigger.
- 2The flow recomputes that interviewer's weekly session count from Outlook.
- 3A logic gate checks the count against their fatigue cap; under cap, it exits quietly.
- 4If over, it searches the skill-matched pool for the lightest-loaded available peer.
- 5It moves the calendar invite from the overloaded person to the replacement.
- 6The Monday panel is updated and a note is posted to the coordinator channel.
