What it does

Closes the provisioning lifecycle. When someone is flagged as leaving, it looks up every asset that was provisioned to them during onboarding, builds a return checklist, and dispatches a recovery plan to both the departing employee and IT. Each asset gets a tracked return status so nothing assigned on day one walks out the door unaccounted for.

When to use it

Use this when you provisioned equipment through Hive and need the reverse motion handled cleanly on offboarding — a complete, owner-by-owner accounting of what must come back, without manually cross-referencing old onboarding orders.

How it works

  1. 1An Airtable record changing to a 'Departing' status triggers the flow.
  2. 2The original provisioning records for that person are gathered into a list of assigned assets.
  3. 3A return checklist is created with each asset, its serial, and a 'Pending Return' status.
  4. 4The departing employee receives an Outlook email with return instructions and a deadline.
  5. 5IT receives a parallel recovery summary so they can confirm each item as it comes back.
