Provision New-Hire Onboarding Kit in Asana on Offer Accepted
When a candidate accepts an offer, this builds a fully populated Asana onboarding project from a role-specific template and assigns every task to the right owner with due dates…
How it runs
The automated pipeline, trigger to output.
- TriggerOffer-accepted webhook receivedHTTP webhook
- LogicSelect role-specific task template
- ActionCreate onboarding project in AsanaAsana
- ActionSet task due dates relative to start dateAsana
- ActionAssign tasks to owning teams and managerAsana
- OutputReturn project link summary to coordinator
What it does
Turns an offer-accepted event into a ready-to-run onboarding project in Asana. It clones a role-specific task template, fills in the new hire's name and start date, sets due dates relative to day one, and routes each task to the responsible owner (IT, facilities, the hiring manager) so nothing is forgotten before the first day.
When to use it
Use it when your HRIS or ATS fires an offer-accepted webhook and you want the operational onboarding plan stood up automatically instead of an HR coordinator copying a checklist by hand for every hire.
How it works
- 1The offer-accepted webhook arrives with the hire's name, role, department, and start date.
- 2A branch selects the correct task template for the role (engineering, sales, ops, or default).
- 3Asana creates a new onboarding project from that template, named for the hire.
- 4Each task gets a due date computed backward and forward from the start date.
- 5Tasks are assigned to their owning teams and the hiring manager.
- 6A confirmation summary with the project link is returned to the HR coordinator.
Set it up
What you configure once, before turning it on.
- 1Connect AsanaTasks, projects, milestones — everywhere.
- 2Connect HTTP webhookTrigger any URL on agent actions.
- 3Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
