HR & RECRUITING
Auto-schedule first-round calls for top-tier candidates
When a candidate is marked Strong in Airtable, the flow finds an open recruiter slot in Google Calendar, books a 30-minute first-round call.
How it runs
The automated pipeline, trigger to output.
- TriggerCandidate marked Strong in AirtableAirtable
- LogicVerify valid email and no existing call
- ActionFind next open recruiter slot in Google CalendarGoogle Calendar
- ActionBook 30-minute first-round call eventGoogle Calendar
- OutputEmail candidate confirmation and update AirtableGmail
What it does
Closes the loop between screening and scheduling. The moment a candidate clears the bar, it books a first-round call on the recruiter's calendar and sends the candidate a confirmation, with no back-and-forth.
When to use it
Use it after a screening step has tagged candidates, when you want strong applicants offered a call within minutes instead of waiting for a recruiter to manually coordinate times. Pairs naturally with a resume-scoring flow upstream.
How it works
- 1A candidate record updated to tier Strong in Airtable triggers the flow.
- 2A logic step verifies the candidate has a valid email and no call already scheduled.
- 3Google Calendar is queried for the recruiter's next open 30-minute slot in business hours.
- 4The slot is booked as a first-round call event with a video link and the candidate added as a guest.
- 5A confirmation email with the date, time, and join link is sent to the candidate via Gmail, and the Airtable row is updated to Call Scheduled.
Set it up
What you configure once, before turning it on.
