What it does

Reads contractor timesheets and engagement budgets from Airtable, computes cumulative spend versus the contracted cap, projects end-of-engagement burn from the current run rate, and surfaces every engagement on track to blow its budget. The staffing lead gets one ranked email instead of manually reconciling spreadsheets.

When to use it

Use it when you staff contractors against fixed-budget engagements and want early warning before an engagement overruns, rather than discovering the overage at invoice time.

How it works

  1. 1A nightly schedule fires on weekdays.
  2. 2Pull all active engagements and their approved timesheet rows from Airtable.
  3. 3For each engagement, sum approved hours times rate to get spend-to-date and project the final total from the weekly run rate.
  4. 4Branch: keep only engagements whose projected total exceeds 90% of budget.
  5. 5Write a flag and projected-overage amount back to each at-risk engagement record in Airtable.
  6. 6Email the staffing lead a table ranked by projected overage, with links to each record.
