HR & RECRUITING
Zoom Panel No-Show Detector with Auto-Reschedule Offer
Detects when a candidate fails to join a scheduled Zoom interview panel, then emails them a short list of open rebooking slots pulled from the panel's shared calendar and tracks…
How it runs
The automated pipeline, trigger to output.
- TriggerZoom interview meeting endsZoom
- LogicCandidate absent from participant list
- ActionFind next 3 open panel slotsGoogle Calendar
- ActionEmail candidate rebooking optionsGmail
- OutputLog reschedule task in ClickUpClickUp
What it does
Watches your scheduled Zoom interview panels and flags the ones a candidate never joined. When a no-show is confirmed, it automatically emails the candidate three open rebooking slots and logs the miss so a recruiter never has to chase it manually.
When to use it
Use this when your team runs panel interviews over Zoom and loses time on candidates who silently miss their slot. It closes the gap between "they didn't show" and "we offered them a new time" without a coordinator watching the calendar.
How it works
- 1A Zoom meeting-ended webhook fires for the interview panel.
- 2The flow checks Zoom participant records: if the candidate's email never appears in the join list, it is marked a no-show.
- 3It queries the panel's shared Google Calendar for the next three open interview windows that fit the panel's availability.
- 4It emails the candidate a friendly rebooking message listing those slots and a one-click reply instruction.
- 5It creates a ClickUp task in the recruiting list, tagged "reschedule", with the candidate, original time, and offered slots so the recruiter has a record.
