What it does
After an event, badge scans arrive as a messy list with duplicates and people who are already in your CRM. This workflow cleans the list, finds which scanned attendees already have an owner on an open deal, and quietly hands those back to the right rep instead of dumping everyone into a generic SDR queue.
When to use it
Run it the day after a conference when your booth staff hand over a scan export. Ideal when multiple reps work overlapping accounts and you want existing relationships routed by ownership, not first-come-first-served.
How it works
- 1A webhook receives the badge-scan export (CSV rows of name, company, email).
- 2The flow normalizes emails and company names, then collapses duplicate scans of the same person.
- 3Each unique attendee is looked up in HubSpot by email and company domain.
- 4A branch splits matches (already owned) from net-new contacts.
- 5For matched attendees, the owning rep gets a Slack DM with the contact and the deal it ties to.
- 6Net-new attendees are written back to HubSpot as fresh contacts tagged with the event source.
