Score Zoom Webinar Attendees and Sync to HubSpot
When a Zoom webinar ends, pulls each attendee's participation data, computes an engagement score, and writes it back to the matching HubSpot contact with a hot/warm/cold tier.
How it runs
The automated pipeline, trigger to output.
- TriggerZoom webinar endedZoom
- ActionFetch participant report (duration, polls, Q&A)Zoom
- LogicCompute 0-100 engagement score and hot/warm/cold tier
- ActionMatch attendee to HubSpot contact by emailHubSpot
- OutputWrite score + tier to HubSpot contactHubSpot
What it does
Turns raw Zoom webinar telemetry into a single engagement score per attendee and pushes it onto the matching HubSpot contact, so sales sees who actually paid attention rather than just who registered.
When to use it
Run it after every live webinar when your CRM is HubSpot and you want reps to prioritize follow-up by real attention, not by a binary attended/no-show flag.
How it works
- 1The Zoom `webinar.ended` event fires the workflow.
- 2Fetch the webinar's participant report from Zoom: join time, total minutes attended, poll answers, and Q&A submissions.
- 3A scoring step weights the signals (attendance duration 50%, polls answered 30%, questions asked 20%) into a 0-100 score and assigns a hot / warm / cold tier.
- 4Look up each attendee in HubSpot by email.
- 5Update the contact with the score, tier, and webinar name as custom properties, creating the contact if it does not exist.
Set it up
What you configure once, before turning it on.
- 1Connect ZoomMeetings, recordings, transcripts.
- 2Connect HubSpotCRM, deals, marketing, support.
- 3Set each agent's modelWe leave models unset so you pick the tier — fast + cheap, or top-quality.
- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
