AI-Personalized No-Show Recap Email
Generates a per-contact recap email for webinar no-shows by combining the session transcript with each absentee's CRM profile, then sends the tailored recording invite via Gmail.

What it does
Instead of one generic "you missed it" blast, this workflow writes a unique recap for each no-show. It feeds the Zoom session transcript and the absentee's HubSpot profile (industry, role, prior interests) into an LLM, which drafts a short email highlighting the two or three webinar moments most relevant to that person, with a link to the on-demand recording.
When to use it
Reach for it on high-value webinars with a smaller, sales-relevant audience where relevance beats volume. The personalization lifts click-through on recordings well above a templated follow-up.
How it works
- 1The Zoom recording.transcript_completed event triggers with the transcript and webinar ID.
- 2Fetch registrants and participants from Zoom and isolate the no-shows.
- 3For each no-show, read their HubSpot profile for role, industry, and recent activity.
- 4Prompt OpenAI with the transcript plus that profile to draft a tailored recap and subject line.
- 5Send the personalized email with the recording link through Gmail and log the send to HubSpot.
Set it up
What you configure once, before turning it on.
