Webinar No-Show On-Demand Recording Drip
When a Zoom webinar ends, splits registrants into attendees and no-shows, then sends absentees a three-touch on-demand recording email sequence over five days.
How it runs
The automated pipeline, trigger to output.
- TriggerZoom webinar endsZoom
- ActionFetch registrants and participantsZoom
- LogicIsolate registered-but-absent contacts
- ActionSend immediate recording emailGmail
- ActionSchedule day-2 and day-5 follow-upsGmail
- OutputTag no-shows with recording linkGmail
What it does
After a Zoom webinar wraps, this workflow pulls the full registrant and participant lists, identifies everyone who registered but never joined, and enrolls those absentees in a tailored email drip that points them to the on-demand recording. Attendees are excluded so they never get the "sorry we missed you" messaging.
When to use it
Run it on every live webinar where you publish a recording afterward. It recovers the 40-60% of registrants who typically no-show, without anyone manually cross-referencing two Zoom CSV exports.
How it works
- 1The Zoom webinar.ended event fires and provides the webinar ID.
- 2Fetch the registrant list and the participant (attended) list from Zoom.
- 3Compute the set difference to isolate registrants whose email never appears among participants.
- 4Send each no-show an immediate "here's the recording" email via Gmail, then schedule a day-2 highlights email and a day-5 final-CTA email.
- 5Stamp each contact with a webinar_noshow tag and the recording link so reporting and later workflows can target them.
Set it up
What you configure once, before turning it on.
- 1Connect ZoomMeetings, recordings, transcripts.
- 2Connect GmailRead, draft, send, label.

- 4Tune it to your dataEdit the prompts, filters, and field mappings so it matches how your team works.
- 5Test, then turn it onRun once against a sample, confirm the output, then enable the trigger.
