LEAD GENERATION
Reconcile Booth Badge Scans Against HubSpot and Dedupe in Airtable
Takes raw badge-scan exports from your booth lead retrieval app, matches each scan against existing HubSpot contacts, and writes a deduped.
How it runs
The automated pipeline, trigger to output.
- TriggerNew badge-scan CSV row in Airtable intake tableAirtable
- LogicNormalize and collapse duplicate scans into one lead each
- ActionLook up lead in HubSpot by email, then company domainHubSpot

What it does
Conference lead-retrieval apps dump a messy CSV of badge scans — duplicate scans of the same person, typos, and people who are already in your CRM. This workflow ingests that export, checks every scan against HubSpot by email and company domain, and produces one clean Airtable row per real person, tagged as `new`, `existing-contact`, or `existing-customer`.
When to use it
Run it the morning after each show day, or at the end of the event, before your reps start follow-up. Use it whenever a booth team scans badges faster than anyone can sanity-check them and you need a trustworthy, deduped list that respects who's already a customer.
How it works
- 1A new badge-scan CSV lands in a watched Airtable intake table (one row per raw scan).
- 2Scans are normalized and collapsed: same email or same name plus company merges into a single lead, keeping the richest field values.
- 3Each deduped lead is looked up in HubSpot by email, then by company domain as a fallback.
- 4A branch tags the lead — `existing-customer` if there's a closed-won deal, `existing-contact` if a record exists, otherwise `new`.
- 5The final roster is written back to a clean Airtable table with the tag, match confidence, and source booth.
